Position Summary: The Community Engagement Coordinator works closely with the Philanthropy team, WEAVE colleagues, committee members, and other volunteers to achieve revenue goals and create memorable experiences for diverse individuals, groups, and businesses within our community who support the agency and the survivors it serves. The Community Engagement Coordinator will oversee WEAVE’s fundraising events, manage volunteers, and serves as the point of contact for Community Partner Events that benefit WEAVE. The Community Engagement Coordinator will thrive on managing multiple projects with a strong attention to detail, match the energy of those who work for and come to WEAVE with new and different ideas, and work to create meaningful opportunities for engagement for volunteers.

 

Essential Functions:

 

Community Partner Event Management

  • Implement and manage the WEAVE’s Community Partner Events (events that raise funds or secure in-kind donations) including screening applications, providing event support, coordinating WEAVE representatives’ attendance at events, and managing donor relationships for event organizers.
  • Oversee process and organization of in-kind donations.
  • Responsible for managing a portfolio of community partner event related donors and ensuring appropriate communications and stewardship in alignment with WEAVE’s ongoing donor engagement and stewardship efforts.

 

WEAVE Events

  • Manage logistics and execution of tasks in support of agency events including vendor relations, permit and contracting, sponsor communications, and volunteer coordination.
  • Responsible for assisting with event budgets, timelines, and materials and tracking progress.
  • Coordinate post-event evaluations and analysis.
  • Work with Director of Philanthropy to identify marketing and media relations needs and strategy.
  • Work with Director of Philanthropy to develop comprehensive sponsorship packages with a range of benefits and price options.
  • Coordinate sponsorship process including distribution of materials, invoicing, ensuring benefits are provided at levels promised, and providing exceptional customer service to sponsors and their guests. 
  • Solicit donations for auctions and raffles.

 

 

Volunteer Engagement-

  • Work with leadership in all agency departments to identify opportunities for volunteers.
  • Coordinate bimonthly volunteer orientation sessions including scheduling department representatives to speak, facilitating the sessions, and answering follow up questions from attendees.
  • Identify volunteer needs for events, recruit volunteers, identify leadership volunteers for key events, provide training for event volunteers, and document volunteer engagement.
  • Train, supervise, and evaluate volunteer performance.
  • Provide to support and/or training to Philanthropy Department interns when their work aligns with Community Engagement Coordinator.

 

Other Responsibilities

  • Attend and participates as a member of the Philanthropy Team in meetings to formulate and implement policies and plans to meet the organization’s goals.
  • Attend and participate in staff and other agency-wide meetings and committees.
  • Other job duties as assigned.

 

Qualifications:

 

  • BA degree in applicable field preferred. Additional position related experience may be substituted
  • Two years related experience in community engagement, project management, and event coordination.
  • Two years professional experience in the nonprofit sector strongly desired.
  • Experience overseeing volunteers or staff.
  • Proficiency in Office 365 tools including use of SharePoint & Microsoft Teams, and Microsoft Office products, including Word, Outlook, Excel & PowerPoint. Strong computer skills including graphic design software and capacity to learn various online database, design and project management programs.
  • Excellent writing and editing skills.
  • Excellent verbal communication and presentation skills.
  • Ability to organize time effectively and work on a variety of projects in the same timeframe.
  • Proficiency with office machines, including computers, database systems, scanners
  • High level of accuracy, organizational skills, and ability to handle multiple tasks.
  • Ability to work with minimal supervision.
  • Ability to maintain a cooperative, professional demeanor with clients, volunteers, staff, and community members.
  • Bilingual in spoken and written Spanish strongly desired but not required.  
  • Complete WEAVE’s peer counselor training program and pass background (post-hiring requirement).
  • Valid California Driver’s license and reliable transportation, including vehicle insurance.

Work environment is primarily in a busy office setting, but this position does have the flexibility to explore remote working options. Local travel may be required in the set-up/or attendance of off-site events. Continuously perform the following:  Lift and carry 25 lbs., extend both arms above the head and/or reach below the waist; stoop, squat, crawl, bend the back to open lower-level filing drawers, or to retrieve stored items; climb a ladder to retrieve items from shelves; climb stairs or use an elevator. Employee may also need to remain in one position (i.e., sitting or standing) for an extended period of time while completing work task. Must be able to efficiently operate a keyboard and mouse or adaptive equivalent, take notes; utilize desk tools such as phones, and utilize larger office equipment such as printers and copy machines.  Speak at a vocal volume that can be heard in groups and communicate clearly and concisely to others. Apply normal to above average reasoning and detail as required in the accomplishment of job duties.  Drive a vehicle for the purpose of event and meeting attendance and errands as needed.
