Operations Specialist
Full-Time Non-Exempt, Benefit Eligible
Salary Range: $22.40-$26.34 (Non-Exempt) DOE, On-Site, Full-Time
Join our compassionate team at WEAVE, a dedicated and impactful organization specializing in supporting survivors of domestic violence and sexual assault. We are seeking a committed Operations Specialist to drive excellence in daily agency operations so that employees have the tools and resources to deliver consistent, reliable, quality services to victims.
Primary Purpose of the Position:
The Operations Specialist is a full-time, non-exempt position. You will support WEAVE’s daily agency operations, including communications systems, controlled access and building security, IT/IS services, facility needs, and procurement. The position is a crucial part of providing reliable, safe, and consistent services to victims, survivors, and staff members.
The Operations Specialist is responsible for responding to employee needs, being present at WEAVE facilities with vendors, equipment, and fleet organization and management, assisting with IT/IS operations, and assisting with various operational tasks that ensure agency employees can complete their respective roles efficiently and effectively. Key responsibilities include:
Operations & IT/IS Support:
·Deliver operations orientation to new staff members during their first week of work.
·Respond to assigned internal service tickets and ensure timely and accurate completion of work.
·Assist with new user set up, including deploying and retrieving assigned employee equipment, workstation set up or modifications, assembling furniture or relocating small furniture items within facilities.
·Support with coordination and execution of infrastructure maintenance, repairs, improvements, and services at all WEAVE locations.
·Assist with reviewing and resetting residential units as needed after client vacancies, based on standard agency protocols.
·Maintain and organize SharePoint site for facilities and maintenance records.
·Develop and maintain standard room plans for shared spaces at agency facilities, including resetting conference rooms and client services rooms on a routine basis.
Equipment & Fleet Management
·Maintain agency-owned vehicles, including scheduling appointments and driving vehicles to and from maintenance appointments.
·Collect equipment when employee changes position, resigns or is terminated, arranging transfer of any documents, messages, etc. remaining on equipment, work with managed IT provider to reset equipment and securely storing equipment until it is reissued.
Procurement
·Plan for and assist with storage of supplies or goods ordered or donated in bulk.
·Coordinate with Client Services staff to maintain organized and accessible agency & client supplies, including ordering supplies as needed.
M I N I M U M Q U A L I F I C A T I O N S
·Associate degree or Accredited Certificate and/or two years’ experience in business administration, business support, assistant services, facilities and operations, or a related field.
·Excellent organization, and time management skills; professional written and oral communication skills.
·Excellent interpersonal skills and dedication to customer service. Must be able to build and maintain effective working relationships with colleagues and vendors; must recognize the crucial role that operations support plays in achieving agency objectives.
·Detail-oriented, results oriented; able to work in a fast-paced environment and adapt to emerging needs while maintaining quality work.
·Proactive, self-motivated, reliable; excellent problem-solving skills.
·Must be able to interact in a professional, respectful, inclusive, and welcoming manner with individuals from a variety of cultural and social backgrounds, life experiences and professions.
·Proficiency in Office 365 tools including use of SharePoint & Microsoft Teams, and Microsoft Office Suite products, including Word, Outlook, Excel & Power Point.
·Valid California Driver’s License, reliable transportation, and proof of current auto insurance, successful pass of criminal background check.
·Successful completion of Peer Counselor Training (post-hire requirement.)
·Successful completion of Defensive Driving Training (post-hire requirement.)
