WEAVE, Inc. has an opening for a new position as the Executive Assistant reporting to the Chief Executive Officer (CEO). The position serves as the primary point of contact for internal and external communications on matters pertaining to the Executive Office and serves as a liaison to the Board of Directors and the Leadership team.  The position organizes and coordinates executive outreach and board relations efforts, and oversees special projects. This position also provides high-level research and administrative support to the CEO and assists with the coordination and preparation of materials for meetings and other events.

Description:

Chief Executive Officer Support

·  Completes a variety of administrative tasks for the Chief Executive Officer including, but not limited to: managing and maintaining an active calendar of appointments, completing expense reports, composing and preparing correspondence that may be confidential and sensitive.

·  Coordinates and maintains smooth communication efforts between the CEO’s office, internal departments and senior management. Fosters relationships that are crucial to the success of the CEO’s initiatives and to the organization as a whole.

·  Communicates directly with Board members, committee members and others on behalf of the Chief Executive Officer.

·  Researches, prioritizes and follows up on incoming issues and concerns addressed to the Chief Executive Officer including those of a sensitive and/or confidential nature and determines the appropriate course of action, referral or response.

·  Successfully completes and follows through on critical aspects of tasks and projects for the Chief Executive Officer with a hands-on approach, including drafting acknowledgement letters, correspondence, and other tasks that facilitate the Chief Executive Officer’s  ability to effectively lead WEAVE.

·  Prioritizes conflicting demands; handles matters proactively and follows through on projects to successful completion.
 

WEAVE Board of Directors & WEAVE Retail Advisory Board Support

·  Serves as the administrative liaison to the current Board President, WRAB Chair and other board members.

·  Maintains the Board calendars and handles correspondence.

·  Maintains discretion and confidentiality in relationships with WEAVE’s board members.

  • Assists, coordinates and collaborates with the Boards, and others, on various projects and tasks including:
    a. Preparing materials for Board meetings, committee meetings and other events.
    b. Preparing materials and coordinating logistics for board orientations and retreats.
    c. Preparing reports for programs and projects for final presentation to board members and committees.
    d. Maintaining data, files and records for the board.

e. Attending board and committee meetings as requested.
f. Drafting committee reports, minutes and other correspondence as necessary.
 

Qualifications:

·  BA/BS degree from an accredited college or university with a minimum of four years of relevant work experience or a combination of education and relevant work experience equal to eight years or more.

·  Proficiency in Microsoft Office Suite. PowerPoint is a must.

·  Excellent interpersonal and customer service. Must work well in a team environment and must be able to build and maintain effective working relationships. Must be able to interact with Board members, volunteers, vendors, the public and employees.

·  Excellent analytical and problem solving skills.

·  Must have strong verbal and written communication skills.

·  Must be detail oriented, results-oriented and be able to multi-task and work in a fast paced environment.

·  Must work well under pressure, have excellent organizational abilities, set and meet deadlines, be able to manage several priorities in a day.

  • Must be dependable, adaptable, creative and self-motivated.
  • Must have regular attendance

·  Ability to handle and maintain the confidentiality of highly sensitive information.
