Position Summary: The Events Coordinator works closely with the Philanthropy team, WEAVE colleagues, committee members, and other volunteers to achieve revenue goals and create memorable experiences for diverse individuals, groups, and businesses who support the agency and the survivors it serves. The Events Coordinator is responsible for ensuring event logistics and details identified and accomplished. The Events Coordinator will oversee WEAVE’s fundraising events, internal events, and serves as the point of contact for Community Partner Events that benefit WEAVE. The person will thrive on managing multiple projects with a strong attention to detail, match the energy of those who come to WEAVE with new and different ideas, and work to create meaningful opportunities for engagement.

 

ESSENTIAL RESPONSIBILITIES:

 

Event Coordination

  • Manages logistics and execution of tasks in support of agency events including vendor relations, permit and contracting, sponsor communications, and volunteer coordination.
  • Responsible for assisting with event budgets, timelines, and materials and tracking progress.
  • Work with staff to develop comprehensive sponsorship packages with a range of benefits and price options.
  • Coordinates sponsorship process including distribution of materials, invoicing, ensuring benefits are provided at levels promised, and providing exceptional customer service to sponsors and their guests.  
  • Solicits donations for auctions and raffles.
  • Engage supporters and volunteers through committees and day of tasks and provided with meaningful opportunities to support WEAVE.
  • Coordinates post-event evaluations and analysis.
  • Implements and manages the agency’s Community Partner Events/DIY fundraising program including screening applications, providing event support, coordinating WEAVE representatives and managing donor relationships for event organizers.
  • Responsible for managing a portfolio of community partner event related donors and ensuring appropriate communications and stewardship in alignment with WEAVE’s ongoing donor engagement and stewardship efforts.
  • Identify volunteer needs for events, recruit volunteers, identify leadership volunteers for key events, provide training for event volunteers, and document volunteer engagement.
  • Works with Communications Coordinator to identify marketing and media relations needs and strategy.

 

Other Responsibilities

  • Represents WEAVE at community events and through participation in professional networks.
  • Participates as a member of the Philanthropy Team to formulate and implement policies and plans to meet the organization’s goals.
  • Other job duties as assigned.

 

Qualifications

 

  • BA degree in marketing, communications or related field and a two years related experience in event coordination.
  • Two years’ professional experience in the nonprofit sector strongly desired.
  • Ability to train, supervise, and evaluate volunteer performance.
  • Strong computer skills including Microsoft Office Suite, graphic design software, and capacity to learn various online database, design and project management programs.
  • Excellent writing and editing skills.
  • Ability to organize time effectively and work on a variety of projects in the same timeframe.
  • Proficiency with office machines, including computers, database systems, scanners
  • High level of accuracy, organizational skills, and ability to handle multiple tasks.
  • Ability to work with minimal supervision.
  • Ability to maintain a cooperative, professional demeanor with clients, volunteers, staff and community members.
  • Frequent lifting of boxes up to 25 lbs.
  • Complete WEAVE’s peer counselor training program and pass background (post-hiring requirement).
  • Valid California Driver’s license and reliable transportation, including vehicle insurance.
