Donor Relations Assistant

Position Summary: The Donor Relations Assistant is responsible for the accurate and timely entry of mailed, online, and delivered donations to WEAVE™ and ensuring donors are appropriately acknowledged. The employee will frequently communicate with donors by telephone and email and must have excellent communication skills and a high degree of professionalism. The position requires high attention to detail and the ability to efficiently process data without error.

Data Entry

  • Responsible for daily entering of donations received via mail, online, from events and other donation sources.
  • Responsible for ensuring accuracy, integrity and consistency of donor information in the donor database.
  • Database maintenance/upkeep at direction of Development Assistant.
  • Responsible for daily processing of thank you letters by donation type, obtaining signatures and mailing acknowledgements to ensure donors are thanked within two business days of donation receipt.
  • Responsible for preparing letters for in-kind donations.
  • Processes monthly donations based on date preferred by the donor and preparing acknowledgement letters in accordance with donor preference.
  • Notifies recurring donors when credit card expiration dates are due to expire and assisting donors in updating information to maintain recurring donations.
  • Processes refunds for donations made online.
  • Responsible for maintaining required paperwork and documentation for corporate matching gift programs and for processing and entering matching gift information.
  • Responsible for scanning donation documentation and attaching it to the donor record and/or storing in appropriate file on department drive.
  • Responsible for adding individuals to electronic newsletter system.
  • Responsible for reconciling and entering volunteer hours into online volunteer database and maintaining hard copy documentation of volunteer hours according to agency policy.
  • Assist department staff with administrative tasks such as preparing mailings, follow up calls to event attendees, scheduling volunteers, etc.
  • Assist with community events.                                           

Qualifications & Requirements:

  • BA or BS degree in Communications, Marketing, Business or related field, preferred.   Combination of additional experience and/or education will be considered
  • One year experience in data entry or administrative support.
  • Excellent computer skills and comfort in working with a variety of systems.
  • Excellent written and interpersonal communications skills.
  • Excellent organizational and time management skills, and detail oriented mentality Knowledge of Microsoft Office programs.
  • Knowledge of fundraising databases, preferred.
  • Valid California Driver’s license, current auto insurance, reliable auto transportation, and satisfactory driving record.
  • Hiring requirements include a criminal records background check clearance.
